Acceptable Use Policy

This policy sets out how AdminHQ may and may not be used. It forms part of our Terms and Conditions. By using the service you agree to follow it.

1. Lawful use

You must use AdminHQ only for lawful business purposes. You must not use it to commit or facilitate fraud, to harass or discriminate against anyone, to infringe intellectual property rights, or to breach any UK law or regulation that applies to your business.

2. Employee records and consent

AdminHQ holds records about your employees, such as their name, work email, job role and the renewal dates of the requirements you track. You are the data controller for that information. You must have a lawful basis for holding it, tell your employees that you use AdminHQ, and only enter information that is relevant to a requirement you have set. AdminHQ does not accept document uploads. Do not enter medical information, DBS results, disciplinary notes or other sensitive personal information in any free text field.

3. Accurate records

The dates and details you or your employees record must be genuine. You must not enter falsified renewal dates, illegal content, or content intended to probe, overload or interfere with the service. We may remove any content that breaches this policy.

4. Secure links

Employee links contain a secure token and expire after 30 days. Send them only to the employee they were created for, and do not publish them anywhere public. If a link is shared in error, tell us and we will invalidate it.

5. Account security

Keep your login details confidential and do not share a single manager account between people who should have separate access. You are responsible for activity carried out under your account. Tell us immediately if you suspect unauthorised access.

6. Technical restrictions

You must not reverse engineer the service, scrape it, attempt to bypass plan limits or access controls, resell access, or run automated tools against it without our written permission.

7. Enforcement

Where we reasonably believe this policy has been breached we may remove content, suspend access, or terminate the account — proportionate to the seriousness of the breach and, where practical, after warning you. Serious breaches such as fraud or a security attack may lead to immediate termination.
